Job Summary
We are seeking a detail-oriented and customer-focused Billing Support Specialist to join our team in Warsaw. In this role, you will be the primary point of contact for resolving billing inquiries, ensuring accurate invoicing, and maintaining strong client relationships. The ideal candidate will combine technical expertise with exceptional communication skills to streamline billing processes and enhance customer satisfaction.
Key Responsibilities
- Billing & Invoicing Support:
Generate, review, and distribute accurate invoices to clients.
Investigate and resolve discrepancies in billing data, payments, and account balances.
Process adjustments, refunds, and credit memos in compliance with company policies. - Customer Assistance:
Respond promptly to billing-related inquiries via email, phone, and chat.
Educate clients on billing cycles, payment methods, and account statements.
Escalate complex issues to relevant departments (e.g., Finance, Sales) and follow up until resolution. - Process Optimization:
Identify recurring billing issues and propose solutions to improve efficiency.
Collaborate with the finance team to reconcile accounts and ensure data integrity.
Maintain accurate records of interactions and transactions in CRM systems. - Compliance & Reporting:
Ensure adherence to GDPR, local tax regulations, and internal financial controls.
Prepare reports on billing trends, outstanding payments, and resolution metrics.
Education
- Required: Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Equivalent: High school diploma with 2+ years of relevant billing/collections experience will be considered.
Skills & Requirements
Technical Skills:
- Proficiency in billing software (e.g., NetSuite, SAP, QuickBooks) and CRM platforms (e.g., Salesforce).
- Advanced knowledge of MS Excel (pivot tables, VLOOKUP, data analysis).
- Familiarity with payment gateways (e.g., Stripe, PayPal) and ERP systems.
Soft Skills:
- Communication: Excellent verbal and written skills in English and Polish (mandatory).
- Problem-Solving: Ability to analyze complex issues and implement effective solutions.
- Attention to Detail: Meticulous approach to data accuracy and documentation.
- Customer-Centricity: Empathy and professionalism when handling sensitive client concerns.
- Time Management: Capacity to prioritize tasks in a fast-paced environment.
Experience:
- 1–2 years in billing, accounts receivable, or customer support (finance-related roles preferred).
